Based on these insights, we can suggest vendor relocation to strategically place food counters where they are most likely to attract demand. We may also recommend dark kitchens, which are off-site food preparation spaces used exclusively for event attendees. These kitchens help vendors expand their production capacity without physically overcrowding the venue with more stalls.

We use data-driven insights to improve queue management by placing pickup points strategically around the venue. This ensures that no attendee needs to walk more than 2 minutes to pick up their food, creating a smoother and faster experience. Our system takes into account factors such as time of day, location of vendor, and even event capacity to determine the most effective flow for food service. This logistical optimization is key to reducing wait times and maximizing food availability during peak demand.

Vendor Production Capacity Optimization

At the vendor level, we go beyond simply digitizing the ordering process. Each vendor has different throughput rates, staff availability, and menu complexity. We calculate and optimize each vendor’s production capacity by breaking down their output into 5-minute, 10-minute, and 15-minute time slots. This takes into account peak demand times during events, ensuring that orders are evenly distributed and staff are not overwhelmed during busy periods.

Each vendor receives a dynamic production schedule that is updated in real time based on incoming orders and operational constraints. Our system balances the load by shifting orders between vendors and adjusting the production windows accordingly. This real-time adaptive production management ensures that vendors can operate at their maximum efficiency while avoiding long waits for customers. It also helps vendors better plan their staffing levels and inventory needs throughout the event.

User and Order Flow

The user experience is at the heart of PickEat’s design. Event-goers enter the event profile, select their current location, and are shown a list of available vendors that serve their area. They can browse through the menus, select the items they wish to purchase, and choose a time slot for their order to be ready. Users can also select a pickup point closest to their location, ensuring the quickest retrieval of their food.

Once the order is placed and payment is processed, users can go about enjoying the event without worrying about their food. PickEat’s system automatically sends the order to the selected vendor, who begins food preparation. As soon as the order is ready, the vendor clicks a button in the vendor app to send a notification to the user, informing them that their order is ready for pickup at their selected pickup point.

At this point, the user can proceed to the designated pickup location and pick up their food in 7 seconds using a QR code on their phone. This seamless integration ensures that the entire process—ordering, paying, waiting, and collecting—is quick, convenient, and hassle-free.
